1. Definitions
For clarity, in this document we use the following terms with the meanings defined below:
- HostLife / We
- S.C. HostLife Digital S.R.L., the provider of the services described in this document.
- You / Client
- The individual or legal entity that purchases or uses HostLife services.
- Services
- All products offered by HostLife: web hosting, VPS, VDS, dedicated servers, n8n hosting, Supabase hosting, domain registration and management, digital services.
- Account
- Your personal account linked to your email address, accessible at cloud.hostlife.ro.
- AUP
- Acceptable Use Policy, described in section 13.
- SLA
- Service Level Agreement, available at hostlife.ro/sla.
- DPA
- Data Processing Agreement (Data Processing Addendum), incorporated as Annex A in section 14.
- Data Controller
- The entity that determines the purpose and means of processing personal data (Art. 4(7) GDPR).
- Processor
- The entity that processes personal data on behalf of the Controller (Art. 4(8) GDPR).
- Force Majeure
- An unforeseeable and unavoidable event that prevents performance of the contract — defined in full in section 21.

3. Scope of services
HostLife offers the following categories of services:
3.1 Web Hosting
LiteSpeed servers with cPanel, SSD RAID 10 storage, Imunify360 protection, free SSL certificates, user-friendly control panel. Monthly or annual billing (with discount). Automatic provisioning within 1 hour.
3.2 VPS (KVM)
Virtual servers with guaranteed resources, root access, dedicated IP, Linux/Windows options. Monthly or annual billing. Automatic provisioning within 4 hours.
3.3 VDS (Virtual Dedicated Server)
Virtual servers with specs above standard VPS, optimized for sustained workloads. Monthly or annual billing.
3.4 Dedicated servers
Exclusive hardware for you, with full customization options. Hardware delivery within 24–72 hours.
3.5 n8n Hosting (managed)
n8n instances managed by us: Standard with SQLite or Pro Worker with PostgreSQL and queue mode. Unlimited workflows, automatic provisioning.
3.6 Supabase Hosting (managed)
Self-hosted Supabase instances managed by us, with Postgres, Auth, Storage, Edge Functions. Automatic provisioning.
3.7 Domain registration and management
.ro domains (via RoTLD (Romanian TLD registry)) and international TLDs (via accredited partner registrar). Registration, transfer, automatic renewal.
3.8 Digital services
On-demand software development (custom software), MVP Launch, mobile apps, e-commerce, maintenance and support. Specific commercial terms are agreed per individual proposal.
4. Contract formation
The contract between you and HostLife is formed electronically when HostLife confirms your order via an automated confirmation email. Placing an order and completing payment constitutes full acceptance of these Terms and Conditions.
HostLife reserves the right to refuse any order without obligation to justify the decision, particularly in cases of: suspected fraud or unauthorized use of payment methods, prior breaches of these Terms, legal restrictions applicable to the type of service requested or the category of client.
5. Account and identity verification
You must provide accurate, complete, and up-to-date information at registration and throughout the duration of the contract. Providing false or incomplete information constitutes a breach of these Terms and may result in immediate suspension or termination of your account.
HostLife may request supporting documents to verify your identity and the information you provided: a national ID or passport for individuals; a tax registration certificate, incorporation certificate, or equivalent document for legal entities. If the information proves to be false or you refuse to provide the requested documents within the communicated deadline, HostLife may suspend access to your account and services until the matter is resolved.
6. Prices and VAT
Prices displayed on hostlife.ro are quoted in RON inclusive of VAT for consumers (individuals). For B2B clients within the EU who provide a valid VAT ID confirmed through the VIES system, invoicing is done VAT-free under the reverse charge mechanism, in accordance with Art. 278 et seq. of Directive 2006/112/EC.
HostLife may change prices at contract renewal, with a minimum 30-day notice communicated by email to the address associated with your account. If you do not agree to the new prices, you have the right to terminate the contract without penalty by cancelling the service in your portal before the date the changes take effect. Continuing to use the service after that date constitutes acceptance of the new prices.
7. Payments and accepted methods
We accept payment by bank card (Visa, Mastercard, American Express), processed by Stripe Payments Europe Ltd., incorporated in Ireland, and by SEPA bank transfer. Your card details are submitted directly to and processed exclusively by Stripe; they do not pass through HostLife systems and are not stored by us. Payment is considered complete when the transaction is confirmed by the payment processor, not when it is initiated.
8. Invoicing (SmartBill)
For each confirmed payment, HostLife issues a fiscal invoice compliant with Romanian law, via the SmartBill (Intelligent IT SRL) platform. The invoice is sent electronically to the email address associated with your account and serves as the official proof of payment. It is your responsibility to ensure that the email address in your account is correct and that you have access to it to receive invoices.
9. Renewal and cancellation
Recurring services (monthly or annual) renew automatically on the expiry date unless you cancel them in advance from your account. You will be notified by email at least 7 days before the renewal date. After the paid period expires, you have a 7-day grace period during which the service remains suspended (no access) but your data is retained.
Cancelling automatic renewal does not incur any penalties or additional payment obligations — the service continues to work until the already-paid expiry date. You can cancel anytime from the "My Services" section in your portal.
10. Right of withdrawal for consumers (14 days)
If you are an individual consumer, you have the right to withdraw from the contract without giving any reason within 14 calendar days of the date the contract was concluded, in accordance with Romanian Government Emergency Ordinance 34/2014 on consumer rights.
Important exception (Art. 16(a) of OUG 34/2014): if you expressly requested in writing that the service begin before the 14-day period expired (for example, by ticking the consent checkbox at checkout), you lose the right of withdrawal for the portion of the service already performed. By their nature, domain registrations involve non-refundable fees paid to the registry, so the right of withdrawal does not apply once registration has been initiated.
To exercise your right of withdrawal, send us an email at contact@hostlife.ro with an explicit statement to that effect (for example: "I wish to withdraw from contract no. XXXXX, concluded on XX.XX.XXXX"). You will receive confirmation within 2 business days, and any amounts due will be refunded within 14 calendar days of the withdrawal declaration, using the same payment method originally used.
11. Provisioning and delivery timelines
Indicative provisioning timelines for each category:
11.1 Web Hosting
Up to 1 hour (automatic after confirmed payment).
11.2 VPS
Up to 4 hours.
11.3 VDS
Up to 8 hours.
11.4 Dedicated servers
24–72 hours (hardware delivery).
11.5 n8n / Supabase Hosting
Up to 2 hours (automatic).
11.6 Domains
Immediate – 24 hours (depends on TLD and DNS propagation).
11.7 Digital services
As per the individual commercial proposal agreed with you.
12. Domains and ICANN/RoTLD
Domain registration through HostLife is facilitated by third-party registrars: RoTLD (Romanian TLD registry) for .ro domains and an ICANN-accredited partner registrar for international TLDs. By purchasing a domain, you also accept the specific rules of ICANN and the relevant TLD registry (RoTLD, Verisign, IANA, etc.), including the obligation to provide accurate and up-to-date WHOIS data. HostLife does not guarantee domain availability and is not responsible for a registration being rejected by the registry.
When a domain expires, it enters a redemption period of approximately 30 days during which recovery involves additional restore fees that vary by TLD. After the redemption period, the domain is released and can be registered by any third party. HostLife bears no responsibility for the loss of a domain resulting from non-payment or failure to follow the renewal procedures.
13. Acceptable Use Policy (AUP)
The following uses of HostLife services are prohibited:
- 13.1 Unsolicited bulk email (spam)
- Sending mass emails without verifiable consent; any form of SMS, fax, or telephone spam.
- 13.2 Malware, phishing, scam
- Distributing viruses, trojans, ransomware, phishing kits, scams, fraud-as-a-service.
- 13.3 Illegal content
- Warez, pirated software, child sexual abuse material (CSAM), drugs, terrorism, weapons, content that violates Romanian or international law.
- 13.4 Unauthorized crypto mining
- Mining cryptocurrency on shared services (web hosting); mining is permitted on VPS/VDS/dedicated with our explicit consent.
- 13.5 DoS/DDoS attacks
- Originating or facilitating attacks against our infrastructure, our clients, or any third party.
- 13.6 DRM, copyright, trademark infringement
- Distributing protected content without legal right, circumventing technical protection measures (DRM), violating copyright or registered trademarks.
- 13.7 Defamation, harassment, incitement
- Defamatory, harassing, or incitement-to-violence content, discriminatory material, or content that violates human dignity.
14. Data Processing Agreement (DPA) — Annex A
For clients who host personal data on HostLife services, this annex governs our processing relationship under Art. 28 GDPR:
14.1 Roles
In the context of data that you (the Client) store on HostLife services, you act as the Data Controller and HostLife acts as the Processor.
14.2 Scope
The personal data of the end users of your services (site visitors, application users, etc.) that you store on HostLife infrastructure.
14.3 Duration
For the entire duration of the contract between you and HostLife.
14.4 Sub-processors
HostLife uses the sub-processors listed in the Privacy Policy (section "Recipients / Sub-processors"). We will notify you when a sub-processor is added or replaced; you have the right to object on reasonable grounds.
14.5 Technical and organizational measures
HostLife applies the measures described in the "Security" section of the Privacy Policy (TLS 1.3, hashed passwords, opt-in MFA, audit logs, encrypted backups, restricted admin access).
14.6 Assistance with data subject requests
We will reasonably assist you in responding to data subject requests (access, rectification, erasure, portability).
14.7 Incident notification
HostLife will notify you within 72 hours of becoming aware of a security incident affecting your data.
14.8 Audit
You may audit HostLife's compliance once per year, with 30 days' notice and at your own expense, within reasonable limits that do not affect other clients.
14.9 Data return / deletion at termination
Upon termination of the contract, HostLife will return or delete your data (at your choice) within 30 days, except where legally required to retain it (e.g. invoices).
15. SLA and availability
For managed services (Web Hosting, VPS, VDS, n8n Hosting, Supabase Hosting) we guarantee a monthly uptime of 99.9%, as per the SLA Agreement. If monthly availability falls below the guaranteed threshold due to causes attributable to HostLife, you are entitled to SLA credits applied automatically to your next invoice, calculated proportionally to the duration and impact of the incident, under the conditions detailed in the SLA Agreement. Dedicated servers and digital services have specific SLA terms set per proposal.
16. Backups and data responsibility
HostLife performs courtesy daily backups with a rolling 30-day retention for managed services (Web Hosting, VPS, n8n Hosting, Supabase Hosting). These are offered as an additional good-faith service and are not contractually guaranteed — they do not constitute a separate data storage or archiving service.
Primary responsibility for backing up your data rests with you. HostLife does not guarantee the integrity, completeness, or availability of courtesy backups and cannot be held liable for data loss in the absence of your own backup. We strongly recommend configuring independent backups to external storage (e.g. Amazon S3, Backblaze B2, another provider) for any business-critical data.
17. Suspension and termination
Grounds on which we may suspend or terminate services:
17.1 Non-payment
Suspension after a 7-day prior notice for an outstanding invoice.
17.2 AUP violation
Immediate suspension for serious violations (malware, illegal content, active attacks).
17.3 Fraud / chargeback / identity theft
Immediate suspension; we cooperate with the competent authorities.
17.4 Authority request
Suspension at the request of competent authorities, in accordance with the law.
17.5 Effects and data retention
Upon suspension: access is blocked. Data is retained for 30 days, then permanently deleted (subject to fiscal retention obligations).
18. Conformity (Romanian Law 363/2007 — digital services)
For digital services (custom software, MVP Launch, mobile apps, e-commerce — category 3.8), the conformity rights under Romanian Law 363/2007 on combating unfair commercial practices and ensuring the conformity of digital products and services apply.
If the delivered digital service does not conform to the contract (agreed specifications), you are entitled, in the following order of priority: (1) to repair or remedy the deficiency within a reasonable agreed timeframe; (2) if repair or remedy is impossible or disproportionate, to replacement with a conforming service; (3) to a proportional price reduction corresponding to the non-conformity; (4) to termination of the contract and full refund. To initiate the conformity procedure, notify us in writing at contact@hostlife.ro with a detailed description of the non-conformity found.
19. Intellectual property
The trade name "HostLife", the logo, visual identity, platform source code, documentation, and all other intellectual property of HostLife remain the exclusive property of S.C. HostLife Digital S.R.L. and are not transferred by the contract. You may not reproduce, distribute, or use these elements without HostLife's prior written consent.
The content, data, applications, and files you store on HostLife services remain entirely your property — HostLife claims no ownership over them. By using the services, you grant us a limited, non-exclusive, royalty-free, non-transferable, and revocable licence, strictly for the duration of the contract and solely for the purpose of providing the services, to operate, maintain, and ensure the functioning of the infrastructure (including technical operations such as backups, replication, and system migrations).
20. Limitation of liability
To the maximum extent permitted by applicable law, HostLife's total liability to you for any damages, regardless of their nature (contractual or non-contractual), is limited to the total amount paid by you for the service involved in the preceding 12 calendar months prior to the event that gave rise to the claim.
Explicitly excluded from HostLife's liability are: indirect, incidental, or consequential damages; loss of profit or revenue; loss or compromise of business opportunities; loss of reputation or business relationships; costs of data recovery not covered by the client's own backups. These limitations do not apply in cases of fraud or gross negligence proven in court, nor where Romanian law expressly prohibits limiting liability.
21. Force majeure
Neither party will be liable for failure to perform or delay in performing its contractual obligations if caused by a force majeure event — defined as any unforeseeable, unavoidable event outside the reasonable control of the affected party, including but not limited to: pandemics and health or quarantine measures imposed by authorities; internet-scale DDoS attacks or attacks on upstream infrastructure (CDN, ISP, internet backbone); prolonged outages by electricity or connectivity providers; governmental decisions or legislation making performance impossible; natural disasters (earthquakes, floods, severe storms); armed conflicts or acts of terrorism.
The party affected by force majeure must notify the other party in writing within 5 business days of the event occurring, describing the circumstances and expected effects. Affected obligations are suspended for the duration of the force majeure event without giving rise to any claim for damages.
22. Dispute resolution — ANPC, SAL, ODR
22.1 Prior notification
Before resorting to litigation, please notify us of the dispute in writing at contact@hostlife.ro. We will respond within 15 business days.
22.2 Conciliation
We may agree to ad-hoc conciliation or professional mediation if both parties consent.
22.3 ANPC
For consumers: ANPC (Romanian National Authority for Consumer Protection) — anpc.ro.
22.4 Alternative Dispute Resolution (SAL)
Alternative Dispute Resolution — SAL entities recognized by ANPC.
22.5 EU ODR Platform
Online dispute resolution platform — ec.europa.eu/consumers/odr.
22.6 Competent court
For cases that remain unresolved, jurisdiction lies with the courts at HostLife's registered office, under Romanian law.
23. Governing law and jurisdiction
These Terms and Conditions are governed by and construed in accordance with Romanian law, regardless of where you access HostLife services from. For any dispute arising out of or in connection with these Terms that cannot be resolved amicably or through SAL/ANPC proceedings, exclusive jurisdiction lies with the competent courts at HostLife's registered office, subject to any mandatory consumer protection rules applicable in your jurisdiction if you are an individual.
24. Changes to these terms
HostLife may amend these Terms and Conditions with a minimum of 30 days' notice, communicated by email to the address associated with your account and via an information banner in the portal. Changes take effect on the date specified in the notice.
If you do not agree to the proposed changes, you have the right to terminate the contract without penalty during the notice period, with a proportional refund of amounts paid in advance for the unused period after the date the changes take effect. Continuing to use the services after the new Terms take effect constitutes implicit acceptance of them.
25. Miscellaneous
25.1 Severability
If any provision of these Terms is declared void or unenforceable by a competent court, the remaining provisions remain fully valid and enforceable.
25.2 Non-waiver
The fact that HostLife does not exercise a right at a given time does not constitute a waiver of that right in the future.
25.3 Entire agreement
These Terms, together with the Privacy Policy, Cookie Policy, SLA, and AUP, constitute the entire agreement between you and HostLife.
25.4 Assignment
HostLife may assign its contractual rights and obligations to a legal successor (merger, demerger, asset sale). You may not assign the contract without HostLife's prior written consent.
